How PingRoom Integrates With Your PMS and CMMS

What Is a PMS Integration?

Your Property Management System (PMS) — Opera, Cloudbeds, Mews, and others — manages reservations, room assignments, check-in and check-out, and billing. It knows which rooms are occupied, which guests are arriving, and what's happening across the property at any given moment.

A PMS integration means PingRoom can exchange data with your PMS in both directions:

What Is a CMMS Integration?

A Computerized Maintenance Management System (CMMS) tracks work orders, preventive maintenance schedules, and asset history. Some hotels use standalone CMMS tools alongside their PMS. PingRoom can connect to these systems as well — pushing completed work orders and asset health data outbound, or pulling existing asset records and maintenance schedules inbound.

Already using a CMMS? PingRoom doesn't require you to abandon it. We can push completed work orders and asset service records to your existing CMMS so your maintenance history stays in one place.

How Integration Is Configured

PingRoom doesn't require a complex IT project or a certified vendor integration to get connected. Integration is configured during onboarding by your PingRoom account team using our integration toolkit. Here's what the process looks like:

No IT department required. For most independent and boutique hotels, integration setup takes a single onboarding session. You don't need in-house technical staff — we handle the configuration.

PingRoom's Role vs Your PMS

A common question is: which system is the source of truth? The answer is both — for different things.

The two systems exchange the data points where they overlap — primarily room status — so neither requires manual re-entry and your staff always has an accurate picture regardless of which screen they're looking at.

What About Properties Without a PMS?

PingRoom works as a standalone platform for properties that manage operations manually or don't have a PMS. Integration is an enhancement — not a requirement.
