One of the first questions hotel GMs and operations directors ask about any new software is: does it work with our existing systems? It's the right question. A tool that creates a separate data silo — disconnected from your Property Management System or maintenance records — creates more work, not less.
PingRoom is designed to connect to your existing systems, not replace them. Your PMS remains your system of record for reservations and guest data. PingRoom adds an operations and asset intelligence layer on top — and the two talk to each other.
What Is a PMS Integration?
Your Property Management System (PMS) — Opera, Cloudbeds, Mews, and others — manages reservations, room assignments, check-in and check-out, and billing. It knows which rooms are occupied, which guests are arriving, and what's happening across the property at any given moment.
A PMS integration means PingRoom can exchange data with your PMS in both directions:
Pull from PMS
PingRoom reads room occupancy, check-in status, and arrival data from your PMS so housekeeping and maintenance staff always have current context.
Push to PMS
PingRoom sends room status updates — cleaning complete, maintenance resolved, room back in service — directly to your PMS so front desk always has an accurate picture.
Event-Driven
Updates happen automatically when something changes — a room is marked clean, a maintenance request is completed, an asset is taken out of service.
What Is a CMMS Integration?
A Computerized Maintenance Management System (CMMS) tracks work orders, preventive maintenance schedules, and asset history. Some hotels use standalone CMMS tools alongside their PMS. PingRoom can connect to these systems as well — pushing completed work orders and asset health data outbound, or pulling existing asset records and maintenance schedules inbound.
What Data Flows Between Systems
| Direction | Data | Trigger | Benefit |
|---|---|---|---|
| ← Pull | Room occupancy & status | Hourly or on demand | Housekeeping skips occupied / DND rooms automatically |
| ← Pull | Arrivals & departures | Scheduled | Prioritize cleans for imminent arrivals |
| → Push | Room clean complete | When housekeeping marks done | Front desk sees room ready in PMS instantly |
| → Push | Room out of service | When maintenance flags room | PMS stops assigning room to incoming guests |
| → Push | Maintenance complete | When work order is closed | PMS & CMMS records updated without manual entry |
| → Push | Asset status change | On asset health update | CMMS gets real-time asset health and service history |
Which PMS Systems Does PingRoom Support?
PingRoom uses a configurable integration toolkit that connects to systems via REST APIs and webhooks — the standard connectivity methods used by modern hotel software. Integration is configured during onboarding for your specific system.
Don't see your PMS? Ask us — if your system supports API access or data exports, we can likely connect to it.
How Integration Is Configured
PingRoom doesn't require a complex IT project or a certified vendor integration to get connected. Integration is configured during onboarding by your PingRoom account team using our integration toolkit. Here's what the process looks like:
- Step 1: We identify your PMS and CMMS and confirm connectivity method (API, webhook, or data export)
- Step 2: We configure the data mapping — which fields in your system correspond to which fields in PingRoom
- Step 3: We set up the trigger conditions — what events cause data to flow, and how frequently
- Step 4: We test with live data in a staging environment before activating
- Step 5: Integration goes live — no ongoing maintenance required on your end
PingRoom's Role vs Your PMS
A common question is: which system is the source of truth? The answer is both — for different things.
- Your PMS owns reservations, guest profiles, billing, and check-in/check-out
- PingRoom owns guest requests & status, maintenance workflows, asset health, housekeeping workflows, and operational analytics
The two systems exchange the data points where they overlap — primarily room status — so neither requires manual re-entry and your staff always has an accurate picture regardless of which screen they're looking at.
What About Properties Without a PMS?
PingRoom works as a standalone platform for properties that manage operations manually or don't have a PMS. Integration is an enhancement — not a requirement.
